Members

“Members” are all visitors who have purchased a “Membership”.

This privacy policy declaration regulates the handling of personal data generated when using the website https://members.life-science.eu. The collection of personal data is necessary for the administration of the member area. This regards to the registration and billing of the particular membership status as well as the calculation and payment of commissions to the affiliates. The aim is to ensure the confidentiality, integrity and availability of all data and to protect the privacy of users. There is no automated decision-making, including user profiling.

Visitor’s and Member’s Rights

(1)Visitors and members have the following rights with regards to the data stored about them: the right to information, the right to correct incorrect data, the right to delete data for which there is no longer any reason for retention, to restrict processing and data portability.

(2) If the data storage and processing is based on the consent of the members, they can revoke their consent at any time and with effect for the future by sending an informal deletion request via My-Account.

(3) If the processing is based on the fulfillment of a legitimate interest of the person responsible, i.e. on Article 6 paragraph 1 sentence 1 lit. f GDP, the visitors and members can object to the processing at any time; For example, by sending deleting request for the account or by unsubscribing informal regular mailings. If the objection is justified, processing will be terminated. If the legitimate interest lies in direct marketing activities; the contradiction is always justified.

(4) In case of the purchase of a membership, life-science Karriere Services is obliged to collect, store and process member’s data.

(5) For visitors who register on our website, we also store the personal information they provide in their user profile. All users can see, edit, or request an export file or a deletion of their personal information at any time (all data can be changed or deleted, except the username and those, we have to keep in accordance to legal (tax) regulations).

(6) Website administrators can also see and edit that information.

Anonymized data processing

(1) The visitors initially use the website for informational purposes, i.e. they access the website without actively interacting with it. In order to display the website correctly, the following data might be collected: IP address, date and time of the request, time zone difference to Greenwich Mean Time (GMT), content of the request (specific page), access status/HTTP Status code, amount of data transferred, website from which the request comes, browser, operating system and its interface, language and version of the browser software. The purpose is to optimized display the website and make the surfing more convenient.

(2) After the end of the visit, the data will be bundeld used for anonymizised visitor statistics.

(3) If you request a password reset, your IP address will be included in the reset email.

Personalized data processing in principle

The collection of personal data is necessary to enable and to admin the memberships and to manage the Partner Program. This includes the registration and billing of the particular membership status, the affiliate request as well as the calculation and payment of commissions to the affiliates. The aim is to ensure the confidentiality, integrity and availability of all data as well as to protect the privacy of users. There is no automated decision-making, including user profiling.

Advertising

The person responsible processes the email address and name of the members in order to send them useful information via email at regular or irregular intervals. He also stores the information what kind of contractual relationship between the member and him exists.
The fact of the purchase of a membership founds a contractual relationship between members and the person responsible. This will be taken as an agreement to contact members with advertising related to the membership.

The following data is processed: (1) email address, (2) name and (3) the status data for the contractual relationship, (4) Start and end of the membership, (5) next payment (6) parent affiliate,

Special note on the right to object: members can object to the use of their data for this purpose at any time; For example, by unsubscribing the newsletter or info-mail.
Notifications related to status of the membership or related to the affiliate status cannot be rejected.

External web hosting

The person responsible has commissioned third parties to host the Web Site. This includes the provision of storage space and the public delivery of this website. In order to fulfill their mandate these service providers are entitled to automatically receive data from the visitors and members. The following data is processed: IP address, date and time of the request, time zone difference to Greenwich Mean Time (GMT), content of the request (specific page), access status/HTTP status code, amount of data transferred, website from which the request comes, browser , operating system and its interface, language and version of the browser software; possibly also communication and interaction data from the behavior of visitors and members.

The life-science Community Social Network

What personal data we collect and why

When visitors register for a membership, they are asked to provide certain personal data to administer their membership. By that they are automatically registered for the life-science Community social network too and the “Name” field in general is public and visible for all members of the site. To join the life-science Community no more personal data is mandatory.

As social networks heavily rely on user-provided data we invite the members to give an insight in their professional way, activities, experiences, interests etc.. All information is delivered by themselves and they control whether the information can be published to all visitors, members or only to friends. User information provided during account registration or later can be modified or removed on the Profile > Settings  panel at any time. Every member has the option to deactivate the entire life-science Community social network account and to participate only the other parts of the membership like Partner-Program, access to exclusive content, invitation to events. Site administrators can read and edit all profile data for all users.

Activities

The activity stream of the life-science Community social network records certain member actions, in the form of “activity” data. Activity includes updates and comments posted directly to the activity stream, as well as descriptions of other actions performed while using the site, such as new friendships, newly joined groups, and profile updates. The content of activity items obey the same privacy rules as the contexts in which the activity items are created. For example, activity updates created in a user’s profile is publicly visible, while activity items generated in a private group are visible only to members of that group. Site administrators can view all activity items, regardless of context. Every member controls on the Profile > Settings  panel at any time whether activities are published to other members, to friends only or to unpublish them.

Activity items may be deleted at any time by users who created them. Site administrators can edit all activity items.

Messages

The content of private messages is visible only to the sender and the recipients of the message. With the exception of site administrators, who can read all private messages, private message content is never visible to other users or site visitors. Site administrators may delete the content of any message.

life-science Community – Cookies

We use a cookie to show success and failure messages to logged-in members, in response to certain actions, like joining a group. These cookies contain no personal data, and are deleted immediately after the next page load. We use cookies on group, member, and activity directories to keep track of a user’s browsing preferences. These preferences include the last-selected values of the sort and filter dropdowns, as well as pagination information. These cookies contain no personal data, and are deleted after 24 hours.

Comments, Uploads, Forum topics, FAQ’s

When visitors or members leave any content on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

Gravatar: An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After optional approval of your comment, your profile picture is visible to the public in the context of your comment.

Comments:  If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

Media

If you upload images to the website, you should in general avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Cookies

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

When you receive and open an affiliate link then a cookie is set in your browser. This cookie includes no personal data but the affiliate link to assign the parent affiliate who is entitled to receive a commission. The cookie will be deleted after 6 months.

If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

We’ll also use cookies to keep track of cart contents while you’re browsing our site.

Data processing in connection with contracts

(1) In addition to data processing in principle, the person responsible processes the data of members and visitors to the website in order to establish, execute and/or terminate contracts. Then the legal basis is Article 6 Paragraph 1 Sentence 1 Letter b GDPR in general. Only if visitors and members also are employees (including applicants) is the legal basis Article 88 GDPR in conjunction with Section 26 Paragraph 1 BDSG2018.

(2) Reference is made to the following processing operations:

Form tools

The person responsible provides form tools on the website. Communication takes place between visitors or members and the person responsible, whereby the entries made by visitors or members are documented and transmitted to the person responsible. The following data is processed: data about the content, date of entry, IP address, manner and scope of the entries in the respective form.

Automation in contract-related communication

As part of the establishment, implementation and/or termination of contracts, the person responsible has automated parts of the communication with the visitors and/or members. It processes all communication data of visitors and/or members, which trigger automatic reactions from the person responsible, such as the delivery of a product or service. The following processes are automatically operated:

(1) the collection of your personal data when initiating a contract;
(2) the establishment, implementation, renewal and/or termination of the contract and the related communication (in particular by email) with those members;
(3) the supply of the services.

The following data is processed: (1) all contact and order details you have entered, (2) payment details if applicable, (3) data about delivery.

Orders / Partner-Program, Affiliates

We collect information about visitors and members during the checkout process on our store.

While you visit our site, we’ll track:

  • Products you’ve viewed: we’ll use this to, for example, show you products you’ve recently viewed
  • Location, IP address and browser type: we’ll use this for purposes like estimating taxes and shipping
  • Shipping address: we’ll ask you to enter this so we can, for instance, estimate shipping before you place an order, and send you the order!

When a visitor purchases from us, we’ll ask him to provide information including name, billing address, optional shipping address, email address, optional phone number, credit card/payment details and account information like username and password. We’ll use this information for purposes, such as, to:

– Send you information about your account and order
– Respond to your requests, including refunds and complaints
– Process payments and prevent fraud
– Set up your account for our store
– Comply with any legal obligations we have, such as calculating taxes
– Improve our store offerings
– Send you marketing messages, if you choose to receive them

If you create an account, we will store your name, address, email and optional phone number, which will be used to populate the checkout for future orders. We generally store information about you for as long as we need the information for the purposes for which we collect and use it and we are not legally required to continue to keep it. We will store order information for 7 years for tax and accounting purposes. This includes your name, email address, order details and billing and shipping addresses.

Affiliate Link

What and where we store:

  • If you are an affiliate, we store a cookie with your affiliate ID and map it to the user accessing our site with your link. This is necessary to identify the affiliate who should be entitled for commission.
  • If you are a visitor accessing our site with the affiliate link, we store your IP address and set a cookie in your browser for a maximum of 6 months to identify the referring affiliate. If you place an order, then your order details are stored along with your IP address.

We store the affiliate link connected to a particular order and affiliate infinitely in order to calculate the lifetime commission. For affiliates their referrals, the amount of their orders, and the customers following over next 10 tiers are visible in the affiliate’s-dashboard.

Export/Delete personal data

Exporting personal data is available for both – affiliate and visitor.
Export/delete of personal data will be processed only after receiving confirmation about it, and as long as we must not store them due to tax or legal regulations.
For deleting cookie data, a visitor can simply delete cookies from their browser.

Who of our team has access

Members of our team have access to the information members provide us. For example, both Administrators and Shop Managers can access:

  • Order information like what was purchased, when it was purchased and where it should be sent, and
  • Customer information like  name, email address, and billing and shipping information.

Our team members have access to this information to help fulfill orders, process refunds and support the members.

What we share with others

We share data with the payment gateways Stripe, Inc. Financial services company  and Paypal (Europe) to operate the payments.

Third Party Services

For the management of payment process, security, and communication with members we use third party services.

Payments

We accept payments through Stripe, Inc. Financial services company  or Paypal (Europe). When processing payments, some of the member’s data will be passed to the payment gateways, including information required to process or support the payment, such as the purchase total and billing information. Communication

(1) In online communication with you, we use the it-services of KLICK-TIPP LIMITED, 15 Cambridge Court, 210 Shepherd’s Bush Road, London W6 7NJ, United Kingdom. The representative of KLICK-TIPP LIMITED in accordance with Article 27 GDPR is the Waterton Knowledge Center WKC UG, Friedrichstr. 53a, 15537 Erkner, represented by Ulf Castelle, GDPR representative@klicktipp.com. With Klick-Tipp we have a order-processing-agreement in accordance to Article 28 GDPR. This ensures that we have full control over the personal data processed there.

(2) We store at Klick-Tipp your contact details and, if necessary, process the data by using online marketing tools like WP2Leads. These 3rd party providers are fully integrated into Klick-Tipp via a secure interface. It is therefore possible that Klick-Tipp takes note of this data, – Klick-Tipp has no own right to use this data and is completely subject to our instructions.

(3) At Klick-Tipp we link your personal data with so-called tags to assign you to different members groups. Klick-Tipp differentiates between two types of tags: SmartTags: When a contact signs up using a signup form, they automatically receive a tag with the name of that signup form. Klick-Tipp can also automatically sets the tags “email received”, “email opened”, “email clicked” and “email viewed in the browser”. Manual tags: In addition we can create manual tags e.g. with the tag “Free Membership” or, more specifically, with the tag “networker”.

Spam Detection

Visitor comments may be checked through an automated spam detection service.

Third Party Social Media

Besides the internal life-science Community the person responsible uses third party social media and social networks like linkedIn, meta or similar. He neither has any influence on the data collected and data processing operations nor is he fully aware of the full extent of data collection, the purposes of processing, the storage periods and the circumstances surrounding the deletion of personal data. If visitors or members visit the company and product pages of the person responsible on third party social media or advertisements (so-called ads), it is possible that the providers of the third party social media and networks save the data collected about the visitors and members as usage profiles and use them for advertising purposes, market research and/or needs-based design of their website. Those visitors and members have the right to object to the creation of these user profiles; to exercise this they must contact the respective provider. To the extent that the local controller can influence the type and scope of the associated processing of personal data, its purpose is to present the controller with the ability to analyze the usage behavior of those visitors and members in relation to the interaction with the company and/or product page maintained there and via this social network (possibly advertising) to communicate with visitors and members.

The following data is processed: Cookie or pixel-based data about interactions with the website and the company and/or product pages of the person responsible, if applicable, the email address, name and communication data.

Embedded content from other websites

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.
